Job Responsibilities

The SUID cluster is looking for Senior Administrative Specialist to carry out administrative functions of the cluster. Main responsibilities include:

  • Oversee and provide quality assurance for key administrative services for the Cluster
  • Oversee and provide quality assurance for all service requests submitted to the Country office and Service Unit.
  • Ensure that all administrative services are provided correctly and in accordance with GIZ processes and rules (P+R).
  • Facilitate continuous improvement in the quality of services provided by the administrative team of the cluster to minimize the risk of errors and audit queries in future.
  • Manage the support and the administrative staff within the Cluster.
  • Maintain a close and effective coordination with Country Office teams (Procurement, Accounts, Project Finance, HR) and Service Units where required and represent the Cluster in all administrative forums as required.

Education Qualification/Required Skills & Experience

  • Master’s degree or postgraduate in the field of business administration, finance, operations, economics or similar.
  • Substantial and documented experience of handling project administration, budget planning and forecasting, personnel management, database management & MIS, Internal and externals audits.
  • Flexible, adaptable and strong ability to deal with stressful situations and workload.
  • Ability to work effectively in a multicultural environment.
  • Demonstrate qualities like problem solving, end to end solutions, conflict management identify potential and support in the professional development of other staff members.
  • Easily adjust with rapidly changing schedules, last minute requests from partners and shifting priorities.
  • Significant experience in managing multiple stakeholders and working towards strict deadlines.
  • Strong communication skills, including the ability to motivate colleagues and deal with complex situations.
  • Ability to multitask, prioritize, and manage time efficiently when under pressure.
  • Demonstrate a positive team spirit where team members work together to achieve shared goals.
  • Staff leadership experience is an advantage
  • At least 12 years of professional experience in administration, financial or contracts management and related field.
  • At least 6 years of professional experience working with GIZ (internal vacancy) with practical knowledge of GIZ administrative processes and contractual tools (procurement of high value national or international consultancies, grants, financings, subsidies), PuR and finance.
