Please note that The American India Foundation Trust (AIFT) reserves the right to modify this schedule as needed. All prospective bidders who have confirmed interest by the due date as above, will be notified of any changes simultaneously by email.

Scope of work:

1. Selected Agency/ies will be offered to enter into a Rate contract with the AIFT on below terms:
2. Duration of contract shall be 1 year with No minimum order quantity; However, the total value of each contract will not exceed ₹ 2,00,00,000 (Two Crores all inclusive) for the entire duration of the contract.
3. Supply/Install required items upon receipt of Purchase Order & subsequent Acknowledgement.
4. All Payment Terms will be 50% advance & balance within 21 days of delivery & Submission of Invoices and PODs. TDS as applicable.
5. Prices will be inclusive of GST & doorstep delivery charges for Pan India.
6. Both the Parties may terminate the Agreement by giving prior notice of 1 (one) month.
7. For any disputes the Jurisdiction will be New Delhi.
8. For any damaged product delivered the Agency will provide the free of cost replacement.

Proposal Requirements:

The technical proposal should cover at least below areas:

A.    Applicant eligibility requirement(s):

• The bidder organization should be registered as a legal entity for doing business in India. In addition, it should have all kinds of active licenses and permission for work for related requirements.
• The applicant must have previous experience in the area of the requirement.

B.    Technical Requirements:

The bidder should provide information on overall qualifications, including:

• Profile of organization
• Past experience, clients handled and completed assignments.
• Services and support available post-delivery of Machine and Turnaround time

C.    Attachments/ Enclosures for Technical Bid:

Bid must be submitted in English language only and should contain:
1.     Covering letter with reference to all enclosures or attachments.
2.     Copy of registration documents/ certificate and most recent renewal as a legal entity.
3.     License or permission if any for doing business with computers.
4.     Copy of Authorized dealership issued by the company (if any)
5.     Copy of PAN & TAN.
6.     Copy of GST Registration.
7.     Copy of MSME registration certificate (if registered)
8.     Copies of last two years ITR. (exempted for startup raised within last two year)
9.     Technical bid form as per Annexure I

D.    Financial Bid

It is to be submitted separately as per Annexure II. No conditional price is to be quoted.
