About the Organization
The Public Health Foundation of India (PHFI) is working towards building a healthier India. It is helping to address the limited institutional and systems capacity in India by strengthening education and training, advancing research and technology and facilitating policy and practice in the area of Public Health. PHFI is headquartered in New Delhi with national presence through its constituent units of regional Indian Institutes of Public Health (IIPHs) and Centers of Applied Research in core public health themes. The Foundation, established in 2006 as a public private initiative, is governed by an independent board comprising of senior government officials, eminent Indian and International academic and leaders, civil society representatives and corporate leaders.
Job Responsibilities
Executive and Administrative Support:
- Provide comprehensive secretarial and administrative support to the Centre Head, including scheduling, correspondence, filing, and follow-ups.
- Maintain databases of Centre projects, partners, and events.
- Maintain and update the Centre calendar, tracking meetings, events, and deliverables.
- Coordinate with HR, Finance, and Procurement for contracts, vendor payments, and consultant/staff onboarding.
- Prepare meeting notes, draft routine communications, and maintain proper documentation.
Coordination and Management:
- Organize workshops, meetings, and consultations — manage logistics, invitations, and participant communication.
- Provide logistical support to visiting collaborators, guests, or consultants.
- Liaise with internal teams and external partners for collaborative events and Centre activities.
Communications and Visibility
- Manage the Centre’s social media handles in coordination with the institutional communications team.
- Draft brief updates, event posts, and other visibility content for the Centre’s webpage or newsletter.
- Maintain a record of communication outputs, media mentions, and Centre highlights.
Education Qualification/Required Skills & Experience
Essential:
- Master’s in Public Health/ Management/ Communications / or related field
Experience:
Essential:
- Round 2-3 years
- As an Executive Assistant/Coordinator /equivalent position with 2+ years of experience in the similar position in a Private/ Academic/Research Institution/University.
- Familiarity with the use of computers (MS Office) and relevant administrative and office software.
- Excellent communication and interpersonal skills.
