Job Responsibilities

Financial Management:

  • Provide technical and administrative support in the areas of finance and grants management.
  • Manage financial accounting and reporting systems: maintain financial records, ensure appropriate internal controls, and establish financial procedures including ledgers, cash books, bank details, receivables, payables, cash flow and fund flow statements, budget preparation, grants tracking, and bank reconciliations.
  • Ensure all supporting documentation is obtained for every transaction as per compliance and organizational policy.
  • Produce financial reports within donor-specified deadlines.
  • Facilitate internal and external audits.
  • Liaise with banks and statutory agencies as required.
  • Assist with sub-recipient management, including financial report reviews and monitoring.
  • Conduct due diligence on grantees in coordination with the project team.
  • Oversee fund disbursements, ensuring accurate and timely payments to vendors, partners, service providers, and stakeholders.
  • Support the program team in budget preparation, grants analysis, expenditure review, and preparation of financial and grants statements for effective and timely utilization.
  • Ensure statutory financial records are maintained and tax compliances are met.

Procurement and Administrative Management:

  • Manage the procurement process: obtain quotes, prepare bid comparisons, facilitate selection committees, issue POs, track deliveries and payments, and manage vendors.
  • Maintain office assets, equipment, service contracts, and rental agreements.
  • Manage support staff to ensure smooth functioning of the office, cleanliness, safety, and security.
  • Support staff with travel bookings and event organization.
  • Manage outsourced agencies related to finance, legal, HR, and procurement.
  • Liaise with government and local authorities for statutory and legal compliance.

Human Resource Management:

  • Maintain and implement strong human resources policies and systems.
  • Maintain personnel files, coordinate recruitment and hiring processes, and ensure timely staff and consultant contract actions.
  • Coordinate the performance management system (PMS) for staff and consultants.
  • Support supervisors in addressing HR issues and assist in problem solving.
  • Ensure a positive office environment and adequate administrative support.
  • Maintain effective and efficient HR and administrative policies and procedures in line with Indian law and PPHF policies.
  • Perform other duties as required.

Education Qualification/Required Skills & Experience

  • Postgraduate degree, preferably in management with specialization in finance / CA / ICWA.
  • Minimum 5 years of managerial experience in finance and administration.
  • Experience in managing multi-donor funding, CSR funding, and statutory compliances.
  • Excellent working knowledge of Tally, GST, and TDS returns.
  • Strong interpersonal and professional skills.
  • Strong organizational skills, with ability to set priorities and manage time effectively.
  • Strong problem-solving ability.
  • Proven ability to work well with diverse groups and as part of a team.
