Job Description
The role will support research administration, data management, research quality assurance, and technical coordination across IIPHs, PHFI, and Centres of Excellence, ensuring effective governance, data quality, and seamless coordination of research-related activities.
Job Responsibilities
The position will perform the following tasks:
- Research Administration & Data Management: Coordinate research documentation, databases, data quality and security, SOPs, trackers, timelines, deliverables, and institutional research records across the project lifecycle.
- Pre-Award Research Coordination: Manage institutional processes for proposal submissions, internal scientific review, PI follow-up, and coordination with institutional leadership, Finance, and external stakeholders.
- Post-Award Monitoring & Compliance: Maintain institutional MIS/dashboards for funded projects; monitor technical and financial reporting, ethical/regulatory compliance, funder requirements, and project closure documentation.
- Research Outputs & Institutional Repository: Maintain systematic records of faculty publications, research datasets, reports, manuscripts, policy products, project closure reports, and other institutional research outputs, ensuring appropriate archiving and retrieval.
- Research Information & Knowledge Systems: Maintain and periodically update institutional research portals/webpages, generate research performance reports for leadership and committees, and support institutional due diligence, registrations, strategic planning, and dissemination of research achievements.
- Donor Agency Relations: Support institutional registration with donor/funding agencies and act as a key coordination point for the due diligence process, including follow-up on funds receivable.
- Reporting & Documentation: Support preparation of regulatory reports in consultation with Finance for review and assist PIs in preparing Non-Financial MoUs and Data Sharing Agreements with collaborating partners.
- Institutional Ethics Committee (IEC) Secretariat: Manage day-to-day IEC Secretariat operations, including planning and coordinating meetings, preparing agendas, and maintaining official records of proceedings and decisions. Coordinate the submission, screening and processing of research protocols for ethical review, including initial reviews, continuing reviews, amendments, deviations and study closures. Prepare periodic reports on IEC activities and provide inputs for IEC audits, institutional reviews and governance reporting.
- HMSC and FCRA Compliances: Ensure all FCRA projects compliances are aligned in coordination with PIs and provide necessary information and reports to grants team towards these compliances.
Additional Institutional Responsibilities
- Lead coordination and compilation of research, project, publication and institutional updates for the PHFI Annual Report, including follow-up with Directors, PIs and Centres, and coordination of finalisation for Governing Board presentation.
- Provide Secretariat support to the Research Advisory Committee (RAC), including meeting coordination, agenda preparation, minutes and follow-up on action points.
- Serve as Convenor/Secretariat for the Research Management Committee (RMC), coordinating meetings, documentation, decision tracking and follow-up actions.
- Represent Research Administration on the Project Management & Review Committee (PMRC), supporting review of technical, financial, administrative and regulatory requirements and related documentation.
- Support development, enhancement and maintenance of the Research section of the institutional website and other research-related digital platforms.
Education Qualification/Required Skills & Experience
Essential:
- PhD in Public Health, Epidemiology, Biostatistics, Health Sciences, Data Science, Life Sciences or a related discipline.
Experience:
Essential:
- Minimum 5 years of relevant experience in research administration, research management, data management or a related technical role.
- Demonstrated experience in managing research projects and coordinating with multidisciplinary research teams.
- Strong understanding of research processes, documentation, governance and quality assurance.
- Experience in research data management and familiarity with relevant data management/analysis tools.
- Good understanding of research ethics, regulatory requirements and institutional research processes.
Desirable:
- Experience working with academic institutions, government agencies, development partners or other research organisations would be an advantage.
- Experience with statistical/data analysis software such as R, Stata, SPSS, SAS or equivalent.
- Experience in developing SOPs, technical guidelines, research protocols and project documentation.
- Experience working on multi-site, collaborative or externally funded research projects.
Skills & Competencies:
- Strong written and verbal communication skills.
- Ability to manage multiple projects and competing priorities with attention to detail.
- Familiarity with research databases, electronic data capture systems and data quality management.
